Using Two-Factor Authentication

The software supports two-factor authentication. Your agency might choose to require two-factor authentication, but it is not required by default. Two-factor authentication can be enabled even if it is not required.

NOTE: If your agency requires two-factor authentication, then after your administrator sets up the requirement, your two-factor authentication must be set up. After logging in, your User Profile is displayed, and all other screens are unavailable until the two-factor authentication is set up. If an attempt is made to navigate to a different screen, then the User Profile screen reloads, and the following message is displayed: Two-Factor Authentication is required. You must generate a key before proceeding

To set up two-factor authentication:
  1. If the two-factor authentication is not required, then from the upper-right corner of any screen, click your username to open your User Profile. If the two-factor authentication is required, then the User Profile screen opens after logging in.
  2. In the Two-Factor Authentication area, click Generate
    The Generate Key window opens, with the following message: Generating a key will allow you to associate this account with Google Authenticator. Are you sure you want to generate a Google Authenticator key?
  3. To generate the key, click Generate. Otherwise, click Cancel.
    A Quick Response (QR) code is displayed, as well as the Account Name and Private Key fields.
  4. From a second device, such as a phone or tablet, download the Google Authenticator application. The app can be downloaded for Android, iPhone, and Blackberry devices.
  5. Use the app to scan the QR code, or enter the information from the Account Name and Private Key fields.
    The two-factor authentication is set up, and the app generates a passcode, which changes every 30 seconds.  After logging in to the system with your username and password, the Enter Two-Factor Passcode window opens.
  6. Enter the passcode from the Google Authenticator app.
  7. To view the QR code again, in the Google Authenticator field, click the View button. The Google Authenticator Key window opens. Enter your password. The QR code is displayed, as well as the Account Name and Private Key fields. Click Close to close the window.
  8. To delete the Google Authenticator key, in the Google Authenticator field, click the Delete button. The Delete Key window opens. Enter your password. A message is displayed, explaining the consequences of deleting the key. To delete the key, click Delete. Otherwise, click Cancel.

    NOTE: If your agency requires two-factor authentication, then if the Google Authenticator key is deleted, a new key must be generated after the next login.
