Setting Up and Customizing Code Tables
Many Code Table records come with default values. However, a few Code Table records use only customized values determined by your agency and must be set up. The process of setting up a blank Code Table record and editing an existing one is the same.
NOTE: Some Code Table records cannot be customized, and are not included in the Code Tables module. For example, the Code Table record for sexes.
To open the Code Table Search screen, from the Administration dashboard or the App Settings menu, select Code Tables. See the article "Searching for Records."
To set up or edit a Code Table record:
- From the Code Table Search screen, select the Code Table record to customize. The Code Table record opens.
- Click Customize or Setup. The Not Active and Active columns are displayed, as well as the Add field.
- To add a code to the Code Table record, enter the code in the Add field. The software automatically capitalizes the first letter of each word in the code. Click Add to add the code.
- To deactivate a code, select it from the Active column, and then click the Deactivate button. The code is moved to the Not Active column. To deactivate all codes, click the Deactivate All button.
NOTE: When a code is deactivated, it is not deleted. Users can still see the code in existing records, as well as search for records using the code. However, users cannot use deactivated codes when creating new records. - To activate a code, select it from the Not Active column, and then click the Activate button. The code is moved to the Active column. To activate all codes, click the Activate All button.
TIP: Codes can also be moved from one column to the other by double-clicking the code. - To sort the active codes alphabetically, click the Alphabetize button.
- To change the order of the codes, select a code in the Active column. Click the Move Up or Move Down button. To move the code to the top or the bottom of the column, click the Move Top or Move Bottom button. Repeat until the codes are in the desired order.
TIP: To narrow the codes in the columns, use the search fields above the columns to enter your criteria. The columns display only the codes that match the criteria. - Click Save to save the Code Table record.
