Starting and Ending Shifts
NOTE: Your shift cannot be started if another shift is already active, and your shift cannot be ended if there is no active shift.
To start a shift:
- Do one of the following:
— From any screen, click the Daily Log button on the menu bar. The button displays your current assignment, or Unassigned if no assignment has been set. The Daily Log window opens. Click the Start Shift button.
— From the Reports menu, select Daily Logs and Shifts to open the Daily Log Search screen. Select Actions > Start Shift.
The Start Shift window opens. - In the Log Entry tab, complete the fields. For field descriptions, see the section "Fields on the Start Shift window" below.
- In the Attachments tab, add any desired attachments to the log. See the article "Using the Attachments Tab."
- Click Save to save the Shift record.
- Do one of the following:

— From the Reports menu, select Daily Logs and Shifts to open the Daily Log Search screen. Select Actions > End Shift.
The End Shift window opens. - In the Log Entry tab, complete the fields. For field descriptions, see the section "Fields on the End Shift window" below.
- In the Attachments tab, add any desired attachments to the log. See the article "Using the Attachments Tab."
- Click Save to save the Shift record.
Fields on the Start Shift window
The Log Entry tab on the Start Shift window contains the following fields:- Shift Start: Enter the date and time of the shift start, or select a date and time from the drop-down calendar. By default, the current date and the nearest 15-minute interval are displayed. For example, if the Start Shift window is opened at 09:58, then the Shift Start field displays 10:00 as the start time.
- Odometer Start: Enter your vehicle's odometer value at the start of the shift.
- Notes: Enter any notes about the shift.
- Site: Select the site where the first assignment of the shift is being worked. This value is used as the site for the first log created for the shift. Additional logs use the site value from the previous log.
- Client: Select the client for whom the first assignment of the shift is being worked. This value is used as the client for the first log created for the shift. Additional logs use the client value from the previous log.
- Link icon: Click to link or unlink the Client and Site fields. When the fields are linked, the Client field is populated based on the selected site. If the fields are not linked, then the values in the Client and Site fields must be selected separately.
- Area: Select the area for the shift.
- Assignment: Select the first assignment for the shift.
Fields on the End Shift window
The Log Entry tab on the End Shift window contains the following fields:- Shift End: Enter the date and time of the shift end, or select a date and time from the drop-down calendar. By default, the current date and the nearest 15-minute interval are displayed. For example, if the End Shift window is opened at 14:17, then the Shift End field displays 14:15 as the end time.
- Odometer End: Enter your vehicle's odometer value at the end of the shift.
- Notes: Enter any notes about the shift.
- Shift Start: Enter the date and time of the shift start, or select a date and time from the drop-down calendar. By default, the date and time when the shift was started are displayed.
- View shift record after ending the shift check box: Select this check box to display the Shift record after saving the shift. If this check box is not selected, then when the End Shift window closes, the screen from which the End Shift window was open is displayed.
- Add Contacts as Watchers check box: Select this check box to automatically add the client's contacts as watchers of the Shift record. The watchers are unique per client on the shift.
- Email watchers check box: Select this check box to automatically email any watchers on the Shift records the details of the shift. Each watcher is emailed only the part of the shift that pertains to their client, not the full Shift record.
Emailing Shift records to clients
When viewing a Shift record, the Client field can be used to filter the logs attached to the shift to display only the logs associated with that client. The filtering stays in effect when the Shift record is printed or emailed.Shift records can be emailed to contacts. When clients are emailed, they receive only the information from the shift that applies to themselves, not the full shift report.
To email Shift records to clients:
- Open a Shift record.
- Do one of the following:
— Select Actions > Email Clients. The Email Clients window opens. In the Clients field, select the clients to email. By default, each client that is connected to the shift is selected. Click Send to send the email.
— Select Actions > Generate Report. Click the Email button. The Confirm Email Report Recipients window opens. If the Client field on the Shift record is blank, then only users or groups can be emailed the full Shift record. If a client is selected in the Client field, then the filtered Shift report can be emailed to users, groups, or the contacts for the selected client. Select the desired users, groups, or contacts, and then click Send to send the email.
