Using the Attachments Tab
To add an attachment to a record:
- From the Adding New or Editing screen, select the Attachments tab.
- Click Add Files to open the Open dialog box.
- Locate and select the file to attach. Most file types can be uploaded. However, Executable files (.exe) are not allowed. The maximum file size is 20 MB.
TIP: Multiple files can be selected in the Open dialog box, using Ctrl+click or Shift+click.
As files are uploaded, a progress bar is displayed. When the files are uploaded, they are displayed in the appropriate areas in the Attachments tab. - If desired, change the values in the fields. For field descriptions, see the sections below.
- Repeat steps 2–4 to add additional attachments.
- To remove an attachment, click the Remove icon.
- Save the record.
Fields in the Images area
The Images area contains the following fields:- Display Priority: Select one of the following options to indicate the order in which to display the images:
— Primary: Makes the image the primary image for the record. Only one image can be selected as the primary image for each record.
— Secondary: Makes the image the secondary image for the record. Only one image can be selected as the secondary image for each record.
— Hidden: Displays the image in the Other Images area. This does not prevent users from seeing the image. If more than two images are added to the record, then the additional images are automatically displayed in the Other Images area. - Email check box: Select this check box to include the image as an attachment when the record is emailed. When selected, the Email Attachment Size Usage field is updated with the size of the image.
NOTE: The Email Attachment Size Usage field shows the limit for the total size of the attachments per email. If the total size of the images selected for email reaches the limit, then additional images cannot be selected for inclusion in the email. Clear the Email check box to exclude an image from the email attachments. - Image Size: Displays the file size, as well as the height and width of the image in pixels. This field is view-only.
- Date Taken: Enter or select the date the image was taken. By default, if the metadata of the image includes the date the image was taken, that date is shown. If the metadata doesn't include the date the image was taken, then this field is blank.
- Description: Enter a description of the image. By default, the name of the file is populated.
Fields in the Documents, Audio Files, Video Files, and Other Files areas
The Documents, Audio Files, Video Files, and Other Files areas contain the following fields:- Document Size or File Size: Displays the size of the document or file in bytes. This field is view-only.
- Date Acquired: Enter or select the date the document or file was created or received. By default, the date the document or file was uploaded to the record is populated.
- Description: Enter a description of the document or file. By default, the name of the document or file is populated.
