Fields in the Property Tab in the Property Screen

The Property tab in the Adding New Property and Editing Property screens contains the following fields, which are separated by area.

When a Property record is added, a list of property categories is displayed. The fields displayed depend on the property category selected. However, most fields are the same for all property categories. Any exceptions are noted.

Select Property Category area

Use the Select Property Category area to select the category of the item. 
  • Drugs
  • Electronics
  • Securities
  • Structures/Land
  • Weapons
  • Other

Description area

Use the Description area to track basic information about the item. 
  • Item: Select the type of property.
  • Description: Enter a description of the item.
  • Make: Select the name of the company that made the item.
  • Model: Enter the model of the item.
  • Year: Enter the year that the item was made.
  • Primary Color: Select the primary color of the item.
  • Secondary Color: Select the secondary color of the item.
If the property is a structure or land, then the fields are adjusted.
  • Structure: Select the type of structure.
  • Description: Enter a description of the structure.
  • Structure Status: Select the status of the structure.

Identification area

Use the Identification area to track identification numbers for the item. If the property is a structure or land, then this area is not displayed.
  • Serial #: Enter the serial number of the item.
  • OAN: Enter the Owner Applied Number (OAN) of the item.
  • Evidence: Enter the evidence number of the item.

Location area

Use the Location area to track the location of the structure or land. This area is displayed only if the property is a structure or land.

To add location information, click the Specify Location of Property link, and then complete the following fields:
  • Place Name: Enter the name of the location.
  • Address: Enter the street address. See the article "Entering Addresses."
  • Address Directions/Notes: Enter any notes about the address. For example, directions or dangerous animals. This information is connected to the address, apart from the Property record.
  • Structure Location Notes: Enter any notes about how the structure is connected to the address. This information is connected to the Property record, not the address.

Owner area

Use the Owner area to track information about the owner of the property. 

To add owner information, locate the record to link to the Property record. See the article "Connecting Records."

Drug Details area

Use the Drug Details area to track the quantity of the drugs. This area is displayed only if the property is a drug.
  • Quantity: Enter the amount of the drug.
  • Unit of Measure: Enter the unit used to measure the amount of the drug. For example, milligrams.

Gun Details area

Use the Gun Details area to track information about the gun. This area is displayed only if the property is a weapon.
  • Caliber: Enter the caliber of the gun.
  • Caliber Type: Enter the unit used to measure the caliber of the gun.
  • Cartridge Capacity: Enter the cartridge capacity of the gun.
  • Barrel Length: Enter the length of the barrel of the gun.
  • Silencer Length: Enter the length of the silencer of the gun.
  • Inscription: Enter any inscription on the gun.

Premise Information area

Use the Premise Information area to track information about the location premise. This area is displayed only if the property is a structure or land.
  • Occupancy: Select the type of occupancy for the structure.
  • Number of Floors: Enter the number of floors in the structure.
  • Estimated Occupancy: Enter the number of people the structure can house.
  • Area (Sq. Ft): Enter the area of the structure, in square feet.
  • Plans File Number: Enter the file number of the plans of the structure. For example, the floor plans or the evacuation plans.

Security Details area

Use the Security Details area to track information about the security or financial asset. For example, a bond, stock, check, gift card, or cash. This area is displayed only if the property is a security.
  • Denomination: Enter the worth of the security. For example, the amount of the check or the total cash value.
  • Issuer: Select the entity that issued the security.
  • Maturity/Issue Date: Enter or select the date that the security was issued, or the date that the security matures.
  • Series Year: Enter the series year of the security.

Local ID Numbers area

Use the Local ID Numbers area to track local identification numbers for the property. 
  • Type: Select the type of identification number. Your administrator creates the types.
  • Number: Enter the identification number.

Alerts area

Use the Alerts area to track alerts for the property.
  • Alert: Select the type of alert. Your administrator creates the types.
  • Level: Select the color for the alert. The higher the color is on the list, the higher the priority of the alert using that color. Your agency determines what the colors mean.
