Searching Using Search Options

Search options can be used to change how the software uses the search criteria. If no option is selected, then by default in most fields, the software looks for values that match, or are equal to, the search criteria. However, by default in Text fields, the software looks for records that contain the search criteria anywhere in the field. For example, if an Address search used view as the search criteria in the Address field, then the results would include all Address records with "view" anywhere in the address, such as 123 Grandview St, 304 Mtn View Rd, and 694 Lake View Apt C.

To select a search option for a field:
  1. Click the field label. A list of available search options appears. The search options available depend on the field type. For more information, see the sections below.
  2. Select the check box for the search option. Multiple options can be selected. For fields that allow Range levels, select the desired level. Only one Range level can be selected at a time.

Search options

Searches can be performed using the following search options:
  • Match Similar: Locates records with exact matches of the search criteria, as well as values that sound like the search criteria. For some fields, this option is selected by default. For example, if a Name search used Anderson as the search criteria in the Last Name field with the Match Similar search option, then the results would include all Name records with the last name Anderson, as well as all Name records with the last name Andersen.
  • Show Blanks: Locates records that have no value in the selected field. For example, if a Business search used the Show Blanks search option for the Phone field, then the results would include every Business record that does not have a phone number.
  • Exclude Values: Excludes records that have the search criteria in the selected field. For example, if a Property search used Drugs/Narcotics in the Type field, and Cocaine in the Item field with the Exclude Values search option, then the results would include all Property records for drugs/narcotics, except those for cocaine.
  • Exact Match: Locates records that exactly match the entered criteria. For example, if a Name search used Mat as the search criteria in the First Name field with the Exact Match search option, then the results would include all Name records with the first name Mat, but would exclude Name records with the first name Matt, Mathew, or Matthew.
  • Range: Locates records that have search criteria specified within a range level. Numbers can be used with range levels. For some fields, the Is level is selected by default.  For more information, see "Range Levels" below.
  • Date Range: Locates records with search criteria based on a common time period. For example, This Week or Last 3 Days. A range of dates can also be used. For some fields, the Dynamic level is selected by default. For more information, see "Date Range Levels" below.

Range levels

The Range search option includes the following levels:
  • Is: Locates records with exact matches of the search criteria. This level functions like the Match Values search option, and is the default level.
  • Greater Than: Locates records with a value greater than the search criteria. For example, if a Name search used 40 as the search criteria in the Age field with the Greater Than search option, then the results would include every Name record for individuals who are at least 41 years old.
  • Less Than: Locates records with a value less than the search criteria. For example, if a Vehicle search used 1975 as the search criteria in the Year field with the Less Than search option, then the results would include every Vehicle record for vehicles made no later than 1974.
  • In Range: Locates records with a value in between the search criteria. For example, if a Name search used 18-36 as the search criteria in the Age field with the In Range search option, then the results would include every Name record for individuals who are 18 to 36 years old.

Date Range levels

The Date Range search option includes the following levels:
  • On: Locates records that use the specified date.
  • After: Locates records that use dates later than the specified date.
  • Before: Locates records that use dates earlier than the specified date.
  • Between: Locates records that use dates between two specified dates.
  • Dynamic: Locates records within a specified time period. The software uses the current date to determine the dates for the time period.

    The following time periods can be selected with the Dynamic level:

  • Today: Locates records that use the current date.
  • YesterdayLocates records that use the day before the current date.
  • Last 3 Full DaysLocates records that use dates from the last three full days. For example, if the current date is October 9, then the results would include records that use the dates of October 6, 7, or 8.
  • Last 5 Full DaysLocates records that use dates from the last five full days.
  • Last 15 Full Days: Locates records that use dates from the last 15 full days.
  • Last 30 Full Days: Locates records that use dates from the last 30 full days.
  • Last 60 Full Days: Locates records that use dates from the last 60 full days.
  • This WeekLocates records that use dates from the current week (Sunday to Saturday).
  • Last Full WeekLocates records that use dates from the last full week (Sunday to Saturday). For example, if the current date is Tuesday, October 13, then the results would include records that use dates from Sunday, October 4 to Saturday, October 10.
  • Last 2 Full WeeksLocates records that use dates from the last two full weeks.
  • Last 3 Full WeeksLocates records that use dates from the last three full weeks.
  • This MonthLocates records that use dates from the current month. For example, if the current date is October 6, then the results would include records that use dates from October 1 to October 31.
  • Last Full MonthLocates records that use dates from the last full month. For example, if the current date was October 6, then the results would include any records that used dates from September 1 to September 30.
  • Last 2 Full MonthsLocates records that use dates from the last two full months.
  • Last 3 Full MonthsLocates records that use dates from the last three full months.
  • Last 6 Full MonthsLocates records that use dates from the last six full months.
  • This YearLocates records that use dates from the current year. For example, if the current date is October 6, 2015, then the results would include records that use dates from January 1, 2015 to December 31, 2015.
  • Last Full YearLocates records that use dates from the last full year. For example, if the current date is October 6, 2015, then the results would include records that use dates from January 1, 2014 to December 31, 2014.
  • Last 2 Full YearsLocates records that use dates from the last two full years. 

Record types

For some records, for example, in court cases, you can use a Name or Business record in some fields. To select a different type of record to search for, click the field label, and then select a record type.
