Validating Incident Records for an IBR Report

Each Incident record must be validated and corrected before you can finalize and submit the IBR report.

To validate the incidents in the report:
  1. From the IBR Report screen, select Actions > Validate. The Validate IBR Report window opens. Once the validation process is complete, the following message appears: Validation complete. Check the Incidents and Arrests below for errors and warnings.
  2. Click OK to close the message.

    TIP: Incidents can also be validated from the Incident Search screen. Search for the records to validate. In the Results area, select the check box for each record. To select all records, click Select All Records. Select Actions > Validate Selected. The records are validated, and the Validate Incidents message opens, providing a breakdown of how the incidents were sorted during the validation process. Click OK to close the message.
If an Incident record has errors, they must be corrected. 

To edit an Incident record to correct errors:
  1. In the corresponding area on the IBR Report screen, locate the incident. A list of the errors in the Incident record is shown. 
  2. Click the incident link to open the Incident record. 
  3. Click Edit to open the Editing Incident screen.
    In the IBR Validation area, details about the first error appear in the following fields:
    - Code: Shows the IBR error code.
    - Description: Shows the IBR description of the error.
    - Notes: Shows notes explaining how to correct the error.
    - Field: Shows the location of the error. In general, the first line indicates the screen, the second line indicates the area, the third line indicates the sub-area, and the fourth line indicates the field. However, some field locations have more or less levels.
    For example, if the error was in the Circumstance field in the Homicide Circumstances area in the Offenses area, then the Field field would show: Incident Offense, Homicide or Assault, Criminal Activity or Type, M.O. Missing. If the error was in the Weapons Used area, then the Field field would show: Incident, Weapons Used
  4. To view a different error, click Prev or Next
  5. Locate the fields with the errors and correct them. For example, complete a blank field.
  6. Save the record.
  7. To validate the record again, select Actions > Validate.
