Creating IBR Reports

If your agency reports IBR information, then use the IBR Report screen to create your monthly IBR submission.
To create an IBR report:
  1. From the menu bar, select Reports > IBR Reports. The IBR Report Search screen opens.
  2. Click Add New. The Adding New IBR Report screen opens. In the Instructions area, basic instructions about monthly IBR reports appears.
  3. In the Reporting Period area, select the month and enter the year for the report. By default, the month and year after the last finalized report appear in the fields. If there are no existing reports, then no values appear.
  4. In the Reporting Agency area, select the agency for which to create the report. By default, your agency appears.
  5. In the Prepared By area, select the name of the person preparing the report, and enter their title. By default, your name and title appear.
  6. Click Save and Close to save the record and close the Adding New IBR Report screen. The IBR Report screen opens and shows  two sections. In the Summary section, information about the report appears. In the Incidents section, areas based on the IBR Offense classifications appear. These areas list the incidents that are included in the corresponding classifications. When you expand an incident, information about the incident appears. If the incident has been validated, then a list of any errors and warnings that make the incident invalid also appears.
  7. To open the Incident record, click the incident link. 
  8. To postpone reporting an incident, click Postpone. A window opens, asking for confirmation of the postponing. To postpone including the incident in the report, click Yes. Otherwise, click No
  9. To include an incident that was postponed, click Include. A window opens, asking for confirmation of the inclusion. To include the incident in the report, click Yes. Otherwise, click No.

  11. Once the report is ready to be submitted, complete the steps in the section “Finalizing an IBR Report” below.

Finalizing an IBR Report

Once an IBR report has been validated and the end of the reporting period has passed, you can finalize and submit the report.
To finalize and submit an IBR report:
  1. From the IBR Report screen, select Actions > Finalize. A window opens with the following message: Once the report is finalized, it will no longer be editable. Are you sure you would like to finalize the report now?
  2. To finalize the report, click Finalize. Otherwise, click Cancel. The report is finalized. The IBR Report screen shows the incidents included in the report in the Reported Incidents area.
  3. To download the report, click Download Report.
