Fields in the Incident Tab in the Incident Screen
If desired, the View field in the upper-right corner of the screen can be used to changed the fields that are displayed. To select a view, open the drop-down list, and then click the view to use. The fields are hidden or displayed as appropriate.
For example, a view called Private Security might hide the Modus Operandi area and fields, as well as the Related Vehicles and Related Property areas and fields, because a private security agency does not need to use those fields. The Full view option displays all fields on the Incident screen.
NOTE: Spillman is responsible for creating the view options. If your agency has questions or suggestions about view options, then contact Spillman Technical Services.
Incident area
Use the Incident area to track basic information about the incident.- Nature: Select the nature of the incident.
- Code Gray: Select this check box if the incident is connected to a code gray response. Depending on the settings established by your admin, this check box might not be available.
- Workplace Violence: Select this check box if the incident involved workplace violence. When you select the check box, a list of workplace violence types appears. Select the specific type from the list. Depending on the settings established by your admin, this check box might not be available.
- How Received: Select how the incident information was received.
- Received By: Select the name of the officer or dispatcher who received the incident information. By default, your name is populated.
- Occurred Between: Enter or select the date and time the incident began. By default, the current date and time are populated.
- And: Enter or select the date the incident ended. By default, the current date and time are populated.
- When Reported: Enter or select the date and time the incident was reported. By default, the current date and time are populated.
- Client: Select the client associated with the incident.
- Link to Place check box: Select this check box to link the Client field to the Street or Place Name field of the Address field. When the fields are linked, the Client field is populated based on the selected place. If the fields are not linked, then selecting a place has no effect on the Client field.
NOTE: Clients are connected to places by your administrator. - On Save and Close: Select the desired check boxes to perform certain actions when the Save and Close button is clicked. If the Add Contacts as Watchers check box is selected, then any contacts from Client or Site records associated with the record are added as watchers to the record. If the Email Watchers check box is selected, then any watchers are emailed the report.
Location area
Use the Location area to track where the incident occurred.- Address: Enter the street address. See the article "Entering Addresses."
- Address Directions/Notes: Enter any notes about the address. For example, directions or dangerous animals. This information is connected to the address, apart from the Incident record.
- Incident Location Notes: Enter any notes about how the incident is connected to the address. This information is connected to the Incident record, not the address.
- Location Type: Select the type of location where the incident occurred.
- Clery Location Type: Select the type of location where the incident occurred. This field is used for Clery reporting, and might not be displayed if your agency does not use Clery reports.
- Area: Select the area where the incident occurred.
Officers area
Use the Officers area to track the officers involved in the incident.- Responsible Officer: Select the name of the officer responsible for the incident.
- Responsible Agency: Select the agency responsible for the incident.
- Responding Officers: Select any additional officers who responded to the incident. Multiple officers can be selected.
Status area
Use the Status area to track the status of the incident.- Disposition: Select the disposition of the incident. By default, Active is populated.
- Disposition Date: Enter or select the date the disposition was assigned to the incident. By default, the current date is populated.
- Clearance: Select the clearance code of the incident. This field is available only if Cleared is selected in the Disposition field.
- Judicial Status: Select the judicial status of the incident.
Complainant area
Use the Complainant area to track information about who reported the incident.The complainant can be a Name or Business record, or a quick contact.To add complainant information about a Name or Business record, locate the record to link to the Incident record. See the article "Connecting Records."
To add a quick contact, select Quick Contact, and then complete the following fields:
- Business check box: To mark the contact as a business, select this check box. The Last Name field is changed to the Business Name field, and the First Name field is removed.
- Last Name: Enter the last name of the complainant. If the contact is a business, then this field is labeled Business Name. Enter the name of the business.
- First Name: Enter the first name of the complainant. If the contact is a business, then this field is not displayed.
- Phone: Enter the phone number of the complainant.

- Address: Enter the street address of the complainant. See the article "Entering Addresses."
Local ID Numbers area
Use the Local ID Numbers area to track local identification numbers for the incident.- Type: Select the type of identification number. Your administrator creates the types.
- Number: Enter the identification number.
Offenses area
Use the Offenses area to track offenses associated with the incident. Depending on the offense code selected, an additional Modus Operandi area appears under the Crime area in the Offenses area.Crime area
Use the Crime area to track basic information about the offense.- Statute/Ordinance Code: Select the statute or ordinance code for the offense. Depending on the code selected, other fields in the Crime area might be populated, including the Jurisdiction and Offense Type fields.
- Jurisdiction: Select the type of jurisdiction of the statute.
- Offense Code: Select the code for the offense. Depending on the offense code selected, additional fields are displayed. For example, if 220 - Burglary - Commercial is selected, then the Cargo Theft and Number of Premises Entered fields are displayed.
- Offense Type: Select the type of offense.
- Crime Classification: Select the crime classification of the offense.
- Attempted/Completed options: Select whether the offense was attempted or completed.
- Crime Against: Select the entity that the crime was committed against. Depending on the offense code selected, this field might be automatically populated and view-only.
- Cargo Theft: Select whether the offense was a cargo theft.
- Number of Premises Entered: Enter the number of premises entered when the offense was committed.
- Gang Related: Select whether the offense was gang-related.
Modus Operandi area
Use the Modus Operandi area to track the modus operandi (MO) of the offense or offender. This area is displayed only when certain offense codes are selected. Fields vary according to the offense code selected. Multiple options can be selected in all fields in this area.For offense codes that indicate assault, the following field is displayed:
- Circumstance: Select the circumstances of the assault.
- Approach to Victim: Select how the victim was approached.
- Crime Scene Evidence: Select the evidence found at the crime scene.
- Force Used On Victim: Select the force used on the victim.
- Forces Victim To Do: Select the actions the victim was forced to perform.
- Sex Acts Performed: Select the sexual actions the victim was forced to perform.
- Victim Body Disposal: Select the way the body was disposed.
- Victim Body Recovery: Select the way the body was recovered.
- Victim Found Clothed: Select the way the body was clothed when it was found.
- Victim/Suspect Contact Conclusion: Select the way the contact between the victim and the suspect was concluded.
- Alarm on Premises: Select whether there was an alarm on the premises.
- Exit Point: Select where the offender exited the premises.
- Method of Entry: Select how the offender entered the premises.
- Point of Entry: Select where the offender entered the premises.
- Criminal Activity: Select the type of criminal activity in which the offender engaged.
- Gambling Activity: Select the type of gambling activity in which the offender engaged.
- Type: Select the type of justifiable homicide.
- Circumstance: Select the circumstance of the justifiable homicide.
- Circumstance: Select the circumstance of the homicide.
- Type: Select the type of negligent manslaughter.
Additional Reporting Details area
Use the Additional Reporting Details area to track additional information that needs to be included for IBR or Clery reports. Depending on the products purchased by your agency, some of these fields might not be displayed.- Is this a domestic violence incident?: Select whether the incident involves domestic violence. This field is used for IBR reporting.
- Is this incident Dating or Domestic Violence related?: Select whether the incident involves dating or domestic violence. This field is used for Clery reporting.
Modus Operandi area
Use the Modus Operandi area to track the modus operandi (MO) of the offenders associated with the incident. Multiple options can be selected in all fields in this area.Criminal Circumstances area
Use the Criminal Circumstances area to track the circumstances of the incident.- Bias Motivation: Select the bias against a particular group that motivated the crime.
- Criminal Objective: Select the objective of the crime.
- Drugs Used: Select the drugs used when the crime was committed.
- Offenders Used: Select the items used when the crime was committed.
- Transportation Used: Select the transportation methods used when the crime was committed.
Weapons Used area
Use the Weapons Used area to track the weapons used by the offender in the incident.- None check box: Select this check box if the offender did not use a weapon.
- Blunt Object: Select the blunt object used.
- Drugs/Chemicals: Select the drugs or chemicals used.
- Fire/Explosives: Select fire or the type of explosive used.
- Firearm: Select the firearm used.
- Knife/Cutting Instrument: Select the knife or cutting instrument used.
- Other Weapon: Select the other weapon used.
- Personal Weapons: Select the personal weapon used.
Victims area
Use the Victims area to track the victims associated with the incident. If the Crime Against field in the Offenses area has a value of Society, then a victim of Society/Public is automatically added to the Victim area.To add victim information, locate the record to link to the Incident record. See the article "Connecting Records." Complete the following fields.
The Victim area is divided into several areas, which are displayed based on the type of victim selected. However, some fields are displayed for all victim types.
Victim Information area
Use the Victim Information area to track basic information about the victim. This area is displayed when the victim is an individual or an officer.- Resident Status: Select the resident status of the individual.
- Under Influence Of: Select whether the victim was under the influence of drugs or alcohol. Both check boxes can be selected.
Victim of Offenses area
Use the Victim of Offenses area to track the offenses associated with the victim. This area is displayed for all victim types.- Offenses: Select the offense to associate with the victim. The list of available offenses is based on the offenses entered in the Offenses area. The victim can be associated with multiple offenses.
Victim Modus Operandi area
Use the Victim Modus Operandi area to track the modus operandi (MO) of the victim. This area is displayed only when the victim is an individual.- Victim Actions Prior: Select the actions performed by the victim before the incident occurred. Multiple actions can be selected.
- Victim Lifestyle: Select the characteristics of the lifestyle of the victim. Multiple characteristics can be selected.
- Victim Sexual Lifestyle: Select the characteristics of the sexual lifestyle of the victim. Multiple characteristics can be selected.
Victim Injuries area
Use the Victim Injuries area to track the injuries the victim received. This area is displayed when the victim is an individual or an officer.- Severity: Select the severity of the injuries. Depending on the severity selected, additional fields are displayed.
- Description of Injuries: Enter a description of the injuries, such as the location on the victim or how they were inflicted.
- Minor Injuries area: If the value selected in the Severity field is any value except No Apparent Injuries, then this area is displayed. In the Minor Injury Types field, select the type of minor injuries received by the victim. Multiple injuries can be selected.
- Possible Trauma/Internal Injuries area: If the value selected in the Severity field is any value except No Apparent Injuries or Minor Injuries, then this area is displayed. In the Internal Injury Types field, select the types of internal injuries received by the victim. Multiple injuries can be selected.
- Major Injuries area: If the value selected in the Severity field is any value except No Apparent Injuries or Minor Injuries, then this area is displayed. Select the check box for each major injury received by the vicitm. Multiple injuries can be selected. Once an injury is selected, the Select Body Location field is available. Select the location of the injury. Multiple locations can be selected.
LEOKA area
Use the Law Enforcement Officer Killed/Assaulted (LEOKA) area to track the circumstances of the officer who was killed or assaulted. This area is displayed only when the victim is an officer.- Officer Activity/Circumstances: Select the circumstances or the activity the officer was engaged in when the incident occurred.
- Officer Assignment: Select the type of assignment the officer was assigned when the incident occurred.
Offenders/Subjects area
Use the Offenders/Subjects area to track the offenders or subjects associated with the incident.If the offender is unknown, then select the Unknown Offender check box.
To add offender information, locate the record to link to the Incident record. See the article "Connecting Records." Complete the following fields.
Subject Information area
Use the Subject Information area to track basic information about the subject.- Subject Role: Select the role the subject played in the incident.
- Alert Name Record check box: Select this check box to add an alert to the Name record of the subject. The text of the alert is the value selected in the the Subject Role field.
- Resident Status: Select the resident status of the individual.
- Under Influence Of: Select whether the subject was under the influence of drugs or alcohol. Both check boxes can be selected.
Relationship to Victims area
Use the Relationship To Victims area to track how the subject is connected to the victim. If multiple victims are connected to the incident, then multiple Victim check boxes are displayed.- Victim check box: Select this check box to connect the victim with the subject. In the Select Relationship field, select how the victim is related to the subject. The options in the list change based on the gender of the victim and the subject.
Others area
Use the Others area to track entities associated with the incident that are not victims or offenders.To add other entity information, locate the record to link to the Incident record. See the article "Connecting Records."
In the Involvement Information area, select how the entity is associated with the incident. If the Other option is selected, then enter the association in the field.
Related Property area
Use the Related Property area to track the property associated with the incident.To add property Information, locate the record to link to the Incident record. See the article "Connecting Records." Complete the following fields.
- Status: Select a status for the property. If Evidence is selected, then a Custody Transaction can be created for the property from the Property View screen.
- Status Date: Enter or select the date the status was given to the property.
- Estimated Value: Enter the approximate value of the property.
- Offenses Related to Property: Select the offense related to the property. This field is displayed only when an offense is selected that needs property associated with it.
Related Vehicles area
Use the Related Vehicles area to track information about the vehicles associated with the incident.To add vehicle information, locate the record to link to the Incident record. See the article "Connecting Records." Complete the following fields.
- Status: Select a status for the vehicle. If Evidence is selected, then a Custody Transaction can be created for the vehicle from the Vehicle View screen.
- Status Date: Enter or select the date the status was given to the vehicle.
- Estimated Value: Enter the approximate value of the vehicle.
- Offenses Related to Vehicle: Select the offense related to the vehicle. This field is displayed only when an offense is selected that needs a vehicle associated with it.
Citations/Warnings area
Use the Citations/Warnings area to track the citations or warnings given to offenders or vehicles associated with the incident. Citations and warnings can be added only if an offender or a vehicle is associated with the incident.Citation Information area
Use the Citation Information area to track basic information about the citation.- Defendant: Select the name of the defendant. The list of available defendants is based on the subjects entered in the Offenders/Subjects area.
- Citation Number: Enter the identifying number of the citation.
- Citation Type: Select the type of citation issued.
- Citation Class: Select the class of citation issued.
- When Occurred: Enter or select the date and time the citation occurred.
- When Issued: Enter or select the date and time the citation was issued.
- Citing Officer: Select the name of the officer who issued the citation.
- Agency: Select the agency responsible for the citation.
Court Information area
Use the Court Information area to track information about the court for the citation.- Court: Select the name of the court.
- Court Date: Enter or select the date the citation went to court.
- Court Number: Enter the identifying number of the court.
- Court Cost: Enter the cost of the court.
- Fine Amount: Enter the amount of the fine for the citation.
- Fine Paid Amount: Enter the amount of the fine that was paid.
- Fine Paid Date: Enter or select the date the fine was paid.
- Court Disposition: Select the court disposition of the citation.
Notes area
Use the Notes area to enter additional information about the citation.Statutes/Violations area
Use the Statutes/Violations area to track the statutes connected to the citation. Select the statute to connect to the citation.Related Incidents area
Use the Related Incidents area to track the Incident records associated with the incident.To add incident information, locate the record to link to the Incident record. See the article "Connecting Records."
In the How Related area, select how the Incident record is associated with the incident. If the Other option is selected, then enter the association in the field.
Related Calls for Service area
Use the Related Calls for Service area to track the Call for Service records associated with the incident.To add call information, locate the record to link to the Incident record. See the article "Connecting Records."
In the How Related area, select how the Call for Service record is associated with the Incident record. If the Other option is selected, then enter the association in the field.
Related Traffic Stops area
Use the Related Traffic Stops area to track the Traffic Stop records associated with the incident.To add traffic stop information, locate the record to link to the Incident record. See the article "Connecting Records."
In the How Related area, select how the Traffic Stop record is associated with the incident. If the Other option is selected, then enter the association in the field.
Related Field Interview area
Use the Related Field Interview area to track the Field Interview records associated with the incident.To add field interview information, locate the record to link to the Incident record. See the article "Connecting Records."
